Players score will not receives an accumulative points for weekly and monthly leaderboards like The Match Session. ⸻ MEET POLICY: To maintain a fair, well-organised, and enjoyable playing experience for every player, the following policies apply to all Vogelkop & Padel meets. 01 — PAYMENT & REFUND: All confirmed payments are considered final and non-refundable. Players who are unable to attend after making payment may transfer their slot to another player, provided that the host is notified in advance of the replacement player's name. Force refunds or refund requests due to personal circumstances, change of plans, or dissatisfaction with the expected meet format will not be accommodated. A refund will only be issued when Vogelkop & Padel cancels or significantly alters the scheduled meet, with prior notification provided by the host. This policy is in place to ensure that one player's decision does not affect the commitment, schedule, or experience of other confirmed players. 02 — PLAYER-TO-COURT RATIO Vogelkop & Padel follows a structured player-to-court ratio to maintain an appropriate playing flow and experience. Court Ratio: 1 Court for 6–7 Players 2 Courts for 13–14 Players 3 Courts for 20–21 Players 4 Courts for 27–28 Players The number of courts opened for each meet will be determined by the final number of confirmed players and the applicable player-to-court ratio. If the minimum number of players required to operate additional courts is not reached, the host reserves the right to reduce the number of courts accordingly. Example: If a 2-court meet has only 9 confirmed players, the host may proceed with 1 court instead of 2. Where necessary, the latest 1–2 confirmed payments may be refunded so the meet can be adjusted to the applicable ratio. This adjustment is made at the host's discretion to protect the overall quality and sustainability of the meet, while ensuring that the remaining confirmed players can still play under a properly structured format. 03 — PLAYER CONDUCT & PLAYING ENVIRONMENT Vogelkop & Padel is built around a competitive, social, and respectful playing environment. The host reserves the right to observe player conduct, including verbal and non-verbal behaviour, both during play and in social interactions between players. This includes, but is not limited to, behaviour that may be perceived as: - Aggressive, intimidating, or confrontational - Disrespectful toward another player, host, or member - Excessively hostile during competitive play - Provocative or disruptive to the playing environment - Inappropriate verbal or non-verbal conduct that may compromise the comfort, safety, or integrity of the club The purpose of this observation is not to restrict healthy competitiveness, but to ensure that competition remains healthy, respectful, and constructive. Where the host determines that a player's conduct presents a significant risk to the environment or the experience of other players, the host reserves the right to take immediate action, including: 1. Removal from the ongoing meet: The player may be asked to leave the meet immediately, without refund. 2. Club suspension or ban: The player may be suspended or permanently banned from participating in Vogelkop & Padel activities. 3. Member awareness: Where a ban is imposed, the player's banned status may be communicated to active Vogelkop & Padel members through official community channels, including ReClub and the official WhatsApp group, for the purpose of maintaining community awareness and preventing further incidents. The host may consider observations from active members when assessing an incident. However, any action taken remains subject to the host's final discretion as the organiser of the meet. 04 — HOST AUTHORITY & PLAYER AGREEMENT By making payment and participating in a Vogelkop & Padel meet, every player acknowledges, accepts, and agrees to comply with these policies, including decisions made by the host in relation to court allocation, player conduct, meet management, and other matters necessary to maintain the integrity of the session. The host's decisions are made with the objective of protecting the fairness, safety, comfort, and overall quality of the playing environment for the community. Participation in a meet constitutes the player's agreement that the host has the authority to interpret and enforce these policies during the session. 05 — THE PRINCIPLE Every confirmed slot represents a commitment to the meet. Every player also contributes to the environment in which the community plays. Our scheduling, court allocation, and player capacity are structured around that commitment. We therefore ask every player to consider their availability carefully, compete with respect, and contribute positively to the environment before and throughout every meet. Play fair. Compete hard.
